Privacy Policy

Last updated: July 14, 2026

This Privacy Policy explains what information F9 Notes collects, how we use it, and the choices you have. By using this site, you agree to the practices described below.

Information We Collect

We collect information you provide directly and a limited amount of technical information when you use the site:

  • Account information — when you register, we collect your name, email address, and password (stored only in encrypted/hashed form). You may optionally add a profile photo, phone number, website, company, location, biography, and social media links.
  • Submissions — when you submit a note, we collect the content of the note and the name and email address you provide so we can review, attribute, and follow up on your submission.
  • Activity — items you favorite, and account activity such as the date, time, and IP address of your most recent sign-ins, which we use for security and account management.
  • Technical data — standard log and device information (such as browser type and IP address) and cookies necessary to keep you signed in and to operate the site.

How We Use Your Information

  • To operate, maintain, and improve the site and its directory of notes.
  • To create and manage your account, including authentication and optional two-factor authentication.
  • To review and publish submissions, and to attribute contributions to their authors.
  • To send transactional and service emails, such as verification, password reset, and submission status updates.
  • To protect the security and integrity of the site and to prevent abuse.

Cookies

We use cookies that are necessary for the site to function — for example, to keep you signed in and to protect against cross-site request forgery. You can control or delete cookies through your browser settings, but some features may not work properly without them.

How We Share Information

We do not sell your personal information. We share information only as needed to operate the site, including with service providers who act on our behalf — for example, our email delivery provider (Mailgun) and our hosting and infrastructure providers. Where we use additional service providers, such as website analytics or social media management tools, they are engaged only to help us operate and improve the site and are not permitted to use your information for their own purposes. We may also disclose information if required by law or to protect our rights, users, or the public.

Note that content you submit for publication — including your contributor name and the note itself — may be displayed publicly in the directory once approved. Your email address is not published.

Data Retention

We retain your information for as long as your account is active or as needed to provide the site and comply with our legal obligations. You may request deletion of your account at any time, after which we will delete or anonymize your personal information except where we are required to retain it.

Your Choices & Rights

You can review and update your account information at any time from your account settings, and you can delete your account from the same place. Depending on where you live, you may have additional rights to access, correct, or delete your personal information, and to direct that we not sell it (we do not sell personal information). To exercise any of these rights, contact us using the details below.

Children's Privacy

F9 Notes is a professional resource intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us with personal information, please contact us so we can remove it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Your continued use of the site after changes take effect constitutes acceptance of the revised policy.
